Recruitment for Executive Assistant to Regional Director

Roles and Responsibilities:

  • Provide administrative, secretarial and organizational support to the Regional Director (RD), East Asia

  • Organize and oversee diary scheduling, arrange meetings and coordinate travel arrangements

  • Plan and coordinate meetings with internal and external stakeholders, prepare agenda and take meeting minutes.

  • Manage the RD’s email correspondence, phone calls and mails by prioritizing matters and responding as appropriate and/or requested

  • Prepare and edit documents, presentations, and reports as needed

  • Coordinate all the logistics, travel arrangements, budget, and communications for the annual Regional Council Meeting

  • Administer the annual review process for all team members under the RD’s responsibility

  • Coordinate with relevant parties to ensure that required documents to MCYS and ACRA are submitted annually within the time frame

  • Serve as the RD’s primary point of contact for internal and external stakeholders

Qualifications and Desired Skills:

  • Preferably with A-level/Diploma in Administration, Management or a related field

  • 3 years or more of proven Board secretarial experience

  • Good communication, organizational and interpersonal skills, independent, resourceful, self-motivated and a team player

  • Ability to exercise discretion and diplomacy in dealing with confidential or sensitive matters

  • Work well under pressure and tight deadlines

  • Proficient in MS Office

  • Singapore Citizen or PR
